Privacy Policy

1. The short version

We collect what the tracker needs to work and nothing else. We do not sell your data, your drivers' data, or your documents. We do not use them to train AI models. We do not share them with insurers, brokers, employers, or marketers.

2. What we collect

Account information — your name, email, company name, phone, USDOT number if you provide one, and billing details. Card numbers are handled by Stripe and never touch our servers.

Documents you upload — photographs and PDFs of medical cards, CDLs, inspections, insurance certificates, permits and similar records, plus the expiration dates confirmed against them.

Driver records you enter — driver names and, optionally, phone, email, CDL number, hire date and notes.

Basic usage data — pages visited and actions taken, used to find bugs and understand which features get used.

3. Whose data it is

When a fleet adds a driver, the fleet controls that driver's data and we process it on the fleet's instructions. If you are a driver and want to know what is held about you, or want it corrected or removed, ask your fleet manager first — they control the account. You can also write to us and we will help route the request.

If you are an independent driver on a Solo plan, the data is simply yours.

4. Automated date reading

To read an expiration date, an uploaded image or PDF is sent to an AI provider that returns the date it sees. The file is transmitted for that purpose only. It is not used to train the provider's models. The extracted date is shown to a person for confirmation before anything is saved.

5. Who we share with

Only the service providers needed to run the product: hosting and database infrastructure, Stripe for payments, our email sending provider for reminders, and the AI provider described above. Each receives only what its function requires and is bound to protect it.

We will disclose data if legally compelled by valid process, and, if a business transfer ever occurs, to the acquiring entity under this same policy. That is the complete list.

6. How long we keep it

Documents and driver records are kept while your account is active. Deleting a document or a driver removes it from your dashboard immediately and purges it from our systems within 30 days, backups included.

Closing your account purges its documents and driver records within 30 days. We retain billing records for as long as tax and accounting law requires.

7. Security

Data is encrypted in transit and at rest. Access is restricted to the people who need it to operate and support the service. Each account's data is isolated from every other account at the database level. No system is perfectly secure, and we will notify affected users promptly if a breach occurs.

8. Your choices

You can view, correct, export or delete your data from the dashboard at any time — CSV export is built in. Reminder emails are the core function of a paid subscription, but the schedule is yours to configure, and account or marketing email can be unsubscribed separately. Depending on where you live you may have additional rights to access, correct, delete or port your data; write to support@cdlels.com and we will honour them.

9. Children

FleetWatch Pro is a commercial tool for licensed drivers and fleet operators. It is not directed at anyone under 18 and we do not knowingly collect their information.

10. Changes and contact
