How we compare — including where we lose.

FleetWatch Pro does one job: it tracks the dates that put a truck out of service and reminds you before they pass. It is priced flat, so it gets cheaper per driver as you grow. It also does less than the big compliance vendors, and this page says exactly where — because you should buy the right tool, and a comparison that only flatters us is worth nothing.

The maths

What you actually pay each month

Per-driver pricing grows with your roster. A flat price does not. Below is the same list of published rates from our pricing page, multiplied out at four roster sizes.

Published list rates or third-party directory figures, as each vendor bills, verified 26 August 2026. Vendors change prices and negotiate volume deals we cannot see — treat this as a starting point and ask them for a current quote.

Where that table goes against us: at five drivers, the bottom of J.J. Keller's published range works out around $20/month — under our Small tier at $24.99. If you run a handful of drivers and price is the only thing you are optimising, they may well come out ahead. Flat pricing wins as you grow, not at every size, and pretending otherwise would be the first thing you caught us on.

What we don't do

Buy theirs instead if you need any of this

These are real gaps, not softened ones. Every item here is something we have deliberately not built, and if it is on your must-have list then a full-service compliance vendor is the correct purchase.

We do not pull MVRs — we keep the record of yours

When you pull an MVR, we hold the copy, the date it was run, the result and who reviewed it — the record an audit asks for. We do not order MVRs from state DMVs or monitor licences continuously; that needs state agreements and DPPA handling we have not taken on. J.J. Keller, Foley and Tenstreet do this.

We do not run your drug & alcohol program — we keep its records

No consortium membership, no random selection pool, no MRO — Foley and J.J. Keller bundle DOT testing programs, and if you need one that is the product to buy. What we hold is the paper trail your program produces: your policy, consortium membership, MIS report date, random-selection notices and each test result, filed per driver.

We do not query the Clearinghouse for you — we keep the outcome

We track when your annual query is due, give you a pre-filled consent form, and record when it was run, the result and who reviewed it. Running the query in the FMCSA portal is still your job.

We do not file anything, ever

Not the MCS-150, not the 2290, not the UCR. Those are free or cheap on official portals and we will not charge you for something the government does for free — we make sure you do not miss the date, and link you straight to the official form.

We are not a recruiting or onboarding system

No applicant tracking, no DAC reports, no hiring workflow. Tenstreet is built for that and we are not competing with it.

We are not an ELD, and not a maintenance shop system

No hours of service, no GPS, no DVIR workflow, no work orders, no parts. Motive and Samsara own the first; Fleetio and Whip Around own the second. What we do carry is the reminder half: per-unit service intervals by months or miles that email you and flag the truck. No ELD feed means mileage only knows what someone enters — so when you need the real number, one click asks the driver, who answers from the cab with the reading and a photo of the dash.

$49.99 a month covers every driver, every truck and every trailer. Hiring your eighth driver does not change your bill. Under 8 drivers, Small is $24.99; a single owner-operator is $4.99.

Photograph it, we read the date

Take a picture of a medical card or an inspection sheet and we read the expiration off it. You confirm every date before it saves — we never quietly guess and file a wrong date as fact.

Your drivers carry their file offline

A phone app that installs to the home screen and holds their documents with no signal, encrypted behind a 4-digit passcode. At a roadside stop the paperwork is on the phone whether or not there are bars.

We help you do the renewal

Step-by-step guides for fifteen document types, each linking to the official government form rather than a reseller charging a markup, plus a UCR fee calculator and a pre-filled Clearinghouse consent form.

The records an audit actually asks for

The DOT accident register (49 CFR 390.15) kept three years, plus the outcome of each Clearinghouse query, MVR, annual review and drug test — date run, result, who reviewed it. Not just when the next one is due, but proof the last one happened.

Trucks, trailers and drivers, organised

One card per driver, one for the trucks, one for the trailers — each coloured by its worst document or an overdue service, so the thing that needs attention is the thing you see first. Service intervals per unit, by months or miles, with reminder emails.

Reminders that actually arrive

Email at 60, 30 and 7 days or any schedule you set, a calendar you subscribe to once, and optional reminders straight to the driver with their upload link so they can renew it themselves.

Free FMCSA monitoring, no card

Watch your public safety record for nothing — no trial, no card, no expiry. We email you when it changes. You do not have to buy anything to use it.

Five languages

English, Spanish, Haitian Creole, Punjabi and Russian, because your drivers do not all read English comfortably and a compliance reminder they cannot read is not a reminder.

A person, not a ticket queue

The owner's direct number is in the dashboard. We keep the team small on purpose, and questions reach whoever can change the product that week.

Straight answers

Which one is right for you

Choose J.J. Keller or Foley if you want one vendor to hold the whole compliance function — MVR monitoring, a drug and alcohol consortium, audit support and a phone number for regulatory questions — and you are comfortable paying per driver for it.

Choose Tenstreet if your real problem is hiring: applications, driver recruiting and onboarding at volume. Document expiry is a small corner of what it does.

Choose FileFlo if you are large enough that $299 flat is genuinely cheaper than per-driver billing — roughly forty drivers and up on most published rates.

Choose Fleetio or Whip Around if you need vehicle maintenance, inspections and DVIR workflow. They are strong at equipment; driver qualification files are not the same product.

Choose Motive or Samsara if you need an ELD, hours of service and telematics. Compliance documents usually ride along inside a much larger contract.

Choose FleetWatch Pro if what actually keeps you up is a medical card or annual inspection quietly lapsing, you want one flat price that does not punish you for hiring, and you would rather do your own filings than pay someone a markup to click the same buttons.
