Privacy Policy

1. The short version

We collect what the service needs to work and nothing else. We do not sell your data. Carrier paperwork submitted through a packet is never published, never shared with anyone but the broker who requested it, and never used for marketing. Private notes are never shared with anyone at all.

2. What we collect from brokers

Account information — company name and email. Your sign-in code is stored only as a cryptographic hash. Billing is handled by Stripe; card numbers never touch our servers.

Your working data — the USDOT numbers you watch and their labels, your private notes, your packet history, and any branding (logo, color) you upload.

Basic usage data — pages visited and actions taken, via privacy-focused analytics (Umami Cloud), used to find bugs and understand which features get used.

3. What we collect when a carrier completes a packet

Company details (name, phone, address), a W-9, optionally a certificate of insurance, and the signature record — typed name, title, date, time, and network address, kept against the exact documents the carrier was shown.

A W-9 contains a taxpayer identification number — for a sole proprietor, often a Social Security number — and we treat it as sensitive. It is collected for one purpose: delivering it to the broker who requested the packet, so they can pay the carrier.

4. How carrier paperwork is stored

Packet files live in private cloud storage with no public links — encrypted in transit and at rest, and retrievable only through authenticated requests by the broker account that requested the packet. We never publish, index, resell, or train anything on them; our own access is limited to operating and supporting the service. CarrierVet uses no AI processing on your stored working data or on carrier paperwork.

The optional support chat on our pages is AI-assisted: messages you type there are processed by our AI provider (Anthropic) to answer you, and support conversations are logged.

5. Whose data it is

Your watchlist and notes are yours. Carrier paperwork is processed for the broker who requested it — if you are a carrier and want a submitted packet corrected or removed, ask that broker first, or write to us at support@cdlels.com and we will route and honour the request.

The vetting reports themselves are built from public government records (FMCSA and the federal carrier census). Corrections to those records belong with FMCSA; if a report misstates what the record says, tell us and we will fix it.

6. Who we share with

Only the service providers needed to run the product: hosting, database and file-storage infrastructure, Stripe for payments, our email sending provider for alerts and packet notifications, Umami Cloud for usage analytics, and Anthropic for the optional support chat (see Section 4). Each receives only what its function requires and is bound to protect it. We will disclose data if legally compelled by valid process, and, if a business transfer ever occurs, to the acquiring entity under this same policy. That is the complete list.

7. How long we keep it

Watchlists, notes, branding, and packet files are kept while your account is active, so your records are there when you need them. Removing a carrier from your watchlist keeps your notes (they are your history); closing your account — email support@cdlels.com — purges your data, packet files included, within 30 days. We retain billing records as long as tax and accounting law requires. A carrier's removal request handled under section 5 is honoured on the same 30-day schedule.

8. Security

Data is encrypted in transit and at rest. Every account's data is isolated from every other account's at the database level, and packet links use long random tokens that identify a single packet only. No system is perfectly secure; we will notify affected users promptly if a breach occurs.

9. Your choices

You can view and export your watchlist (CSV export is built in), edit or delete notes, and clear branding, all from the dashboard. Alert emails are the core function of a paid subscription; account email is otherwise limited to transactional messages. Depending on where you live you may have additional rights to access, correct, delete, or port your data; write to support@cdlels.com and we will honour them.

10. Children

CarrierVet is a commercial tool for freight professionals. It is not directed at anyone under 18 and we do not knowingly collect their information.
